Challenge

A U.S. leadership nonprofit had its network split across a legacy Mailchimp account and a separate HubSpot account inherited from its founding community, making it difficult to manage the kind of selective, relationship-based communication the organization is built on.

Results

Orange Marketing unified that network into a single HubSpot portal and built a segmentation model that reflects the deliberate logic the organization uses to manage its network.

About the Organization

This nonprofit convenes accomplished leaders across business, global supply chain, engineering and technology, infrastructure and design, and space and astrophysics to collaborate on complex challenges. It recently opened a dedicated campus where its community gathers in person.

The organization grew out of an earlier professional community, which remains a valued part of its network today.

Growing Beyond Its Founding Community

The organization's community had grown well beyond its original focus, but some systems hadn't grown with it. Orange Marketing was engaged to consolidate contacts and communications into a single system, without losing the deliberateness the team had built into how it communicates.

As the organization’s Senior Vice President of Marketing Communications & Strategy, says:

"(Orange Marketing) managed a genuinely complex migration for us, merging our data into a single, consistently segmented database with reliable reporting. Their HubSpot expertise is outstanding and their response time impeccable."

The Challenge

  • A highly selective community, managed by hand — The organization’s invitations and communications are intentionally selective, grounded in mission alignment. That precision was a strength, but maintaining it depended on manual work: hand-built lists, layered tags, and spreadsheets used to decide who received what.

  • One community, split across systems — Contacts and history lived across Mailchimp, a separate HubSpot account and Excel lists, making it hard to see the full community in one place or apply that same precision consistently.

  • Several distinct kinds of engagement, one system needed — The network engages with the organization in different ways, including invited convenings, student programs, and public campus tours, each warranting different handling, tracking, and communication.

  • A live website launch running in parallel — With a new website underway at the same time, WLC needed all forms and contact capture connected correctly from day one, not retrofitted later.

The Solution

  • Bringing the community into one system.
Orange Marketing made HubSpot the single system of record, migrating Mailchimp and legacy HubSpot contact data, campaign history, and past event data into the new portal while preserving relationship data and tags, so the full community now exists in one place.

  • Segmentation built around the organization’s own standards.
Orange Marketing translated the organization’s existing categories, including its student programs, hand-built lists, and layered tags into structured HubSpot properties, giving the team a system it can maintain directly, without the spreadsheets. Tagging a contact as a student now surfaces the right detail automatically, giving that community the same visibility as the rest of the network.

  • Event tracking connected to the right records.
The leadership nonprofit relies on a dedicated third-party event platform RSVPify for registration and ticketing; Orange Marketing built an event object in HubSpot to hold that data and connect it to the right contacts and companies, so every convening and tour ties back to the right record.

  • Forms connected from day one.
Working closely alongside the organization’s web developer, Orange Marketing ensured every form, including the detailed convening-inquiry form, fed clean data into HubSpot from the moment the new website launched, with nothing to retrofit after the fact.

For an organization that carefully distinguishes between an invited convening and a public campus tour, that distinction had to hold in the data too. Rather than build ticketing and registration logic from scratch inside HubSpot, Orange Marketing used HubSpot's custom objects to build a system that works alongside the third-party event management platform, connecting registration and attendance data back to the right contacts and companies, so a student attending a private gathering and a visitor signing up for a tour are never treated the same way twice.

The Results

  • One community, one view.
The team can now see its full network in a single system, rather than reconciling Mailchimp and a separate HubSpot account by hand.

  • Segmentation that reflects the mission.
The team can maintain its specific, relationship-based communication style directly in HubSpot, reaching the right people for the right reason with far less manual list-building.

  • A clearer picture of engagement.
Convenings, student programs, and tours can now be tracked and connected to the right contacts, giving the team a clearer view of how its community engages across each.

  • A system built to grow with the organization. With its new campus opening soon, the organization now has a communications foundation built to scale alongside it, rather than one it will need to rebuild.

That foundation provides room to grow into an even larger community without losing the intentionality that built it.

A System as Intentional as the Mission It Serves

As the organization’s marketing communications leader describes the partnership:

"Despite changing tight deadlines, multiple CRM systems, new event tracking, and a website launch all converging, (Orange Marketing) stayed flexible and delivered."

For the nonprofit’s President, the point was never the system itself - it was always what the system makes possible:

"We want to have a positive impact... we are about having an impact on the future. We're going to do that by providing leaders with an inspiring, unique setting in which to gather, dream, plan, and collaborate."

That inspiring, unique setting is being built in two places at once - the physical campus where the community meets, and the system making sure the right people find their way to it.
